Reviving my editing business

In this post, Louise Bolotin* talks about her experience of trying to revive her editing business after the start of the Covid-19 pandemic wiped out her work.

Like many freelancers, I was hit hard by the pandemic. 2020 started well enough, including a huge two-month project for a Commission. But in the week before we went into lockdown last March, I ran into deep trouble. First, as businesses battened down their financial hatches, all the projects I’d had booked in up to mid-June were cancelled by my clients. And then the local weekly newspaper where I’d worked as their subeditor for several years rang to say they were laying me off. In the space of a few days, I lost 100% of my work. Utter despair and panic set in because after the final week of that lucrative Commission job, I had nothing – for the first time in 15 years of working for myself.

Normally I’d never admit this, but I was not alone. I heard countless similar tales from other freelancers. For a few weeks I seriously contemplated getting a supermarket job. I had bills to pay, after all. I even got as far as half-heartedly filling out some of an application form for one supermarket. But I reminded myself that I still wanted to be my own boss, rather than someone’s employee. So as the public clamoured to ‘build back better’, I resolved to do the same, as there was no point dwelling on what I’d lost.

Once the shock had settled, it was time to roll up my sleeves. Under lockdown, I had plenty of time to review what I needed to do to bring work back to me – I’d let a few things slide for a while because when you are busy you’re often too busy to do marketing essentials. I also thought about what I didn’t want so I could make the big decisions. One thing I definitely didn’t want was to commute again. I’d worked at the newspaper one day a week, sometimes two, but the prospect of sitting on a train for 45 minutes each way in the middle of a pandemic was now unthinkable.

Despite the prospect of no income for goodness knows how long, I pledged to do a minimum two things every day that might generate work, and I also felt I could afford to spend a bit to earn a bit as I qualified for the government’s SEISS grant.

First, it was time to invest in a new website and logo. My then website was 10 years old and looked dated and unprofessional. Within a few weeks of launching my new look, my site analytics were showing increased visits and enquiries.

Next, it was time to up my CPD. First in my sights was the CIEP’s Medical Editing course, something I’d planned to do for a while but not got round to. Under lockdown I had time to get cracking. I completed the course in October and then paid for a freelance directory entry on a specialist network with the aim of finding medcomms work. That is starting to pay off.

As a member of the National Union of Journalists I have access to a huge suite of free courses run by the Federation of Entertainment Unions. In April I joined their webinars on Cash Flow Planning and Freelance Finance to get a quick grip on loss of income. These helped ease some of the financial stress I was experiencing. I also did the FEU’s Grow Your Business via Email Marketing webinar in August – it was both useful and inspiring. Within days I’d opened a Mailchimp account and am now sending a monthly newsletter to my clients. Late last year, I attended the FEU’s course on goal-setting. I’d never done this before, but I set two goals for this year and I’m reviewing them every month. One was to find three new long-term contracts – two of them found me in December.

There were other things – signing up to some paid-for freelancing newsletters that signpost work opportunities and yet more webinars, and joining a Slack community for journalists that was hugely valuable in providing camaraderie and support for lockdown stress and mental health.

Among my ‘two things a day’ pledge, this was a good time to update my various directory entries, including my CIEP one. I polished my CV and opted to spend more time on LinkedIn engaging with colleagues. I scoured job sites most days to look for freelance work. I got commissioned by a national newspaper to write a feature on being separated from my husband under lockdown. My NUJ branch also hired me to update my training courses on the business of freelancing and run them for branch members on Zoom.

The hard labour paid off and work has come back – in November I was fully booked for the first time since lockdown. And I learned the following:

Resilience matters: I’ve always been strong, and have bounced back from some of my life’s most challenging situations. I drew on that in 2020 to rebuild my business, bank balance and sanity. Never underestimate the power of keeping going – you’ll get to where you want to be eventually.

Envy is pointless: I felt irrationally furious at some colleagues who were still busy. Why them? Why not me? Especially the ones who’d only just started freelancing. But who knew what trouble they too might be in? For all I knew, just because they seemed busy, it didn’t mean they too weren’t struggling. I felt better when I let go of the envy and focused on building back.

It’s OK to ask for help: I’m not great at this, but I did. I was honest on social media, in the forums of my professional bodies and to friends offline about being in a hole and needing work. This helped keep my spirits up and some CIEP colleagues were kind enough to put work my way. I have since given interviews on how freelancers were hit and what I did to get back on my feet. I hope that helped others.

Getting to grips with grammar and punctuation

Do you go cold when you hear the words ‘dangling participle’? Does the mere mention of a comma splice or a tautology make you anxious? Do you have a faint memory, perhaps from primary school, that people who write ‘proper’ English never start a sentence with ‘And’ or ‘But’? Perhaps you’ve been flummoxed by the terms used in the school materials that you’ve had to work with while homeschooling your children (you are not alone: see this article by the former Children’s Laureate Michael Rosen).

Actually, you almost certainly know much more about grammar and punctuation than you realise. The ‘rules’ are often no more than old-fashioned preferences or prejudice, and may not be relevant anyway. It all depends on the text: a novel for young adults, an information leaflet for patients at a doctor’s surgery, or an annual report for a major company – each requires a very different approach. The tone in which the document is written, and the intended readership, will dictate how strictly grammar and punctuation rules should be applied.

If you work with words, in any capacity, and you feel that your knowledge could do with a brush-up, then the new online course from CIEP, Getting to Grips with Grammar and Punctuation, could be just what you need.

Why both grammar and punctuation?

Let’s see how the Collins Dictionary defines grammar: ‘the ways that words can be put together in order to make sentences’. It defines punctuation as ‘the use of symbols such as full stops or periods, commas, or question marks to divide written words into sentences and clauses’.

This explains why these two subjects have to go hand in hand. Grammar is about putting words together; punctuation helps the reader to make sense of those words in the order in which they have been presented. Used well, the grammar and punctuation chosen should be almost imperceptible, so that nothing comes between the reader and the text. If they are used poorly, the reader will be confused, may have to go back over sentences as they puzzle out the meaning, and may eventually stop reading as it’s just too hard to figure out.

For the want of a comma …

Take this well-known example. ‘Let’s eat, Grandma’ is a friendly invitation for Granny to join the family meal. If you remove that tiny comma, the poor woman is at the mercy of her cannibal grandchildren.

More seriously, a misplaced comma can have huge legal and financial implications (see ‘The comma that cost a million dollars’ from the New York Times).

Poor grammar can have unintentional comic effects (dangling participles are particularly good for this, as you can see here). It could even affect your love life (see this Guardian article ‘Dating disasters: Why bad grammar could stop you finding love online’).

So it’s worth knowing the rules you must follow, and those that can sometimes be ignored.

Why this course?

Getting to Grips with Grammar and Punctuation is for anyone who works with words. It aims to:

  • clarify the basic rules of English grammar
  • clarify the rules of English punctuation
  • discuss some finer points of usage and misusage
  • explain the contexts in which rules should or need not be applied.

This course alternates units on grammar and punctuation, with two basic units followed by two that go into more detail. Each unit has several sets of short, light-hearted exercises on which you can test yourself to see how well you have taken in the information. The penultimate unit discusses finer points of usage, and finally, there are three longer exercises on which to practise everything you’ve learned from the course. There is no final assessment for the course, but every student is assigned a tutor and is encouraged to ask for their help if any questions arise as they work through it.

There is an extensive glossary of grammatical terms as well as a list of resources, in print and online, for further study. This includes a number of entertaining and opinionated books on grammar which will prove, if nothing else, that even the pundits don’t always agree.

By the end of this course, you should have a clear idea of some of the finer points (and many of the pitfalls) of English grammar and punctuation. You should have developed some sensitivity to potential errors, acquired greater confidence, and learned strategies to make any written work you deal with clearer, more effective, more appropriate and even, perhaps, more elegant. And we hope that you will have found it interesting and entertaining at the same time.

Reaching your potential with The Printing Charity’s Rising Star Awards

The Printing Charity has rebranded its annual Print Futures Awards as the Rising Star Awards. The awards champion young talent working in print, paper, publishing and packaging, and are now open for 2021 entries.

To be named a 2021 Rising Star and receive up to £1,500 towards the cost of training, professional accreditation or equipment to support career development, applicants need to be aged 18 to 30, resident in the UK, working in the sector, and be clear on how the award will advance their career.

Neil Lovell, The Printing Charity’s Chief Executive, explains the reason for the name change:

Refreshing the name and branding makes it clear that the awards are not just about print but all the many aspects of our multifaceted sector. The sector continues to change and our awards, the largest single awards in our sector, are about celebrating the new generation of talent working within it; young people who are already demonstrating great potential.

We’ve had nearly 500 winners since the awards began and, let’s face it, after 2020 we need as much positivity about the sector and its future stars that we can get. We are excited to see who applies this year and are asking businesses to encourage their rising stars to apply.

Here, four previous award winners share how they used their awards to build their skills and progress their careers.

Grace Balfour-Harle

I won a Print Futures Award in 2020, the most turbulent year in living memory. Although the awards ceremony in London was cancelled, having a Print Futures Award has opened many doors for me. From the outset, I wanted to use the award to attend training courses to further and consolidate my editorial skills. But I gained much more than that; the Printing Charity additionally covered my first year’s CIEP membership, which I am very grateful for.

Despite no in-person events, I haven’t faced any barriers to making the most of the award. Completing multiple courses from Publishing Scotland, I met my tutors and the other attendees; a different type of the dreaded networking, but networking nonetheless. In a practical sense, the courses have refined both my editorial eye and my methodology when completing an editorial job, as well as increasing my knowledge of the editorial process.

Having only received the award last year, it is too early to see the long-term benefits. But in the short-term, because of the courses and training I have completed, I have been able to submit my application to move from Entry Level Membership of the CIEP to become an Intermediate Member. Another direct benefit is that I appeared in Publishing Scotland’s Annual Report for 2019–2020 for undertaking a significant number of their training courses.

Applying for the award has inspired me to take control of my career development, of which continual and long-term learning is my top priority. The flexibility and support of my employers, DC Thomson, have been invaluable to help me start this long-term development plan, and the generosity of The Printing Charity is irreplaceable. All I can say, if you’re thinking about applying for a Rising Stars Award, is to do it – only you know where it might take you!

Clare Diston

In 2019, I was lucky enough to win a Print Futures Award. I am a freelance editor and proofreader, and I found out about the awards through an email from the CIEP (thank you!). I applied and, after an interview in London with some friendly people from the charity, I was delighted to be chosen as one of 93 winners that year.

Since I started my freelance business in 2011, I have worked on all sorts of different texts and across numerous genres, but in the last few years I have discovered a passion for science (especially astronomy), so I used my Print Futures Award to build the science editing side of my business.

I invested my award money in three things. First, I bought a new laptop, because my old one was slow and struggled to handle book-length PDFs. Second, I took the CIEP’s References course, because accurate referencing is key to all scientific texts. Third, I enrolled on UWE Bristol’s Science Communication Masterclass, a four-day intensive course in science writing and communication. It was absolutely brilliant: not only did I learn about the principles of ‘sci comm’ and gain valuable experience writing and presenting my ideas, I also met a fascinating and enthusiastic group of science lovers!

The Print Futures Award has given me a great foundation to start specialising in science writing and editing. Since I won the award, I have gained several new clients in science publishing, and I now regularly copyedit and proofread articles for scientific journals. I’m hugely grateful for this award – it has helped me to reach for the stars!

Alice Horne

When I applied for the Print Futures Award at the end of 2018, I had just left my role as an editor at non-fiction publisher DK to launch my freelance career. I was determined to maintain my professional development, but as every freelancer knows, finding the money for training – let alone the time – can be a challenge.

The Print Futures Award took away the first barrier by funding my attendance of the CIEP’s 2019 conference as well as two training courses. I loved the energy of the conference and the opportunity to meet editors from all over the country (those were the days!) and, of course, there were many insightful sessions; one that really stayed with me was the writers’ panel, which shone a light on the ‘other side’ of editing. The two training courses, meanwhile, solidified my knowledge and helped me develop new skills, specifically editing fiction.

But applying for and being awarded the grant gave me much more than the financial freedom and push to develop my skills. The interview process involved a fascinating conversation with two seasoned industry professionals, and the award ceremony itself was a real treat: meeting my fellow Print Futures Awards alumni and industry figures – and at the House of Lords, no less.

This experience made what could have been a scary and sometimes lonely transition into freelancing an exciting one. My close partnership with my clients as a freelancer slowly evolved into permanent contracts, and I soon found myself editing in-house again, but I’ll always be grateful for the Print Futures Award for giving me the self-confidence and a strong base from which to develop my editing career.

Bryony Leah

I’m so grateful for my Print Futures Award grant. It has helped tremendously, enabling me to fund training courses with the Chartered Institute of Editing and Proofreading and Certitec (using my CIEP member discount) that will allow me to expand my services as a freelance fiction editor and proofreader.

It’s easy to feel cut off from the publishing industry when you don’t live or work in Central London, so I’ve always felt a bit isolated with my training, and rely on institutions such as the CIEP for continuing professional development. However, funding courses as a self-employed freelancer can be difficult alongside other necessary expenses. Thanks to the Print Futures Award grant, I’m now enrolled in more tutor-assessed remote training and booked in for a classroom-based InDesign masterclass I previously could only dream of being able to afford.

Further to this, the application process gave me a necessary confidence boost exactly at a time when I was forced to adapt my editorial business due to the COVID-19 outbreak. I’m quite an introverted person and more comfortable working alone rather than asking for help, so the prospect of having to sit through a video interview was unappealing at first.

However, the Print Futures Award judges couldn’t have been more supportive. The interview was relaxed, friendly, and really helped me to put into perspective all of the things I’d achieved with my business already. Imposter syndrome tends to creep in when your workload isn’t consistent, and during the first lockdown in early 2020, I lost all of my retainer contracts in one week. It was the positivity and hope of the Print Futures Award judges and the motivation to continue my training (funded by the grant) that helped me to push through those difficult months. I’m now fully booked until June 2021!

Making the most of Microsoft Word

It’s a fierce world out there, particularly for freelancers, and freelance editors need to make the most of every second when their hourly income rate depends on it.

Although ‘other software is available’, Microsoft’s Word is still the go-to writing program across the English-speaking world. Therefore, maximum familiarity and minimum ineptitude have got to be good things – and those are on offer through the CIEP’s Word for Practical Editing course.

I’ve been using Word since expensive new IBM PCs were gingerly invested in by my then-employers. There was no money for training and an infant worldwide web, so when you had a query it was a case of wading through cumbersome, incomprehensible manuals or picking the brains of those who’d been using it for longer. So, over the years I’ve gradually absorbed and researched ways and means of improving my knowledge and use of this ever-updating, universal software – but it’s amazing what you fail to pick up on if you jog along on your old familiar track.

You can tell the course has been written by practising editors because it acknowledges the numerous approaches to editing tasks. Therefore you don’t feel that there is only one way to use the program or to find and use the tools. The course uses screencasts as well as documentation, so you can absorb the information in the way that suits your brain best. And when you’ve finished you end up with the study notes, exercises, model answers and a range of useful resource downloads to refer back to.

What Word for Practical Editing is not is a beginner’s guide to using Word. You do have to be a user, and you do have to know your way around the basic conventions and tools, or you’ll find yourself floundering in a sea of unfamiliar terms.

What Word for Practical Editing does do, which may be unexpected, is widen your knowledge of working in the editing world in a business-like manner and of dealing with clients.

Whether you use a PC or a Mac, this course is for you if you want to:

  • extend your knowledge on approaching a project, beginning with the client brief before you approach the Word manuscript and tips on setting up the program and its tools, and different ways of viewing it
  • improve your ability to find errors and inconsistencies – not only are you told how to use the inbuilt Find & Replace (F&R), Spelling & Grammar and Macro tools and are referred to some great add-in programs, but you are also given a useful list of common errors any editor needs to be sure they are clearing up
  • clearly communicate your findings with your client – from checking the compatibility of your Word versions, to being sure that what you receive matches the brief, to different ways of showing Track Changes; you are also given useful templates for a stylesheet, an invoice and a feedback form
  • check that you are using styles and templates as effectively as possible – there are several layers to using these universal bugbears, and if every Word user were sent a copy of this information the air might be less blue
  • widen your knowledge of shortcuts – and you can download a useful list of them to keep referring to until they become second nature
  • gain insights on archiving and CPD, because jobs aren’t always done with once you’ve sent off the edited Word doc.

I will probably not end up using all the shortcuts the course introduced me to, even though they save on keyboard time and could even ward off RSI, but I’ve certainly expanded my knowledge of what Word offers and tightened up my use of it – and therefore increased my hourly income.

What more could you want?

Buck the trend: strengthening your business during lockdown

2020 was a challenging year in which to set up and run a business. But with the wonders of modern technology, it has been possible to receive training, find clients and function as an editor/proofreader from the comfort of our own homes.

In 2019, I completed the CIEP’s Proofreading 1: Introduction course and passed the Proofreading 2: Headway course. That summer, I began a year-long business start-up course through The Growing Club, a local Community Interest Company (CIC) for women that functions much like an enterprise agency. It provided me with training and support while I was setting up my business: Well Read Proofreading Services.

And then the pandemic struck.

There was no script for how to set up a business and find clients in a pandemic. The trick was to use the contacts I already had, think innovatively and make the most of every opportunity that came my way.

I’ve listed below some suggestions for how to strengthen a proofreading/editing business during the pandemic, together with how these avenues have helped me – sometimes in surprising ways.

Local Enterprise Agency (EA)

Local enterprise agencies exist in the UK to help start-up and small businesses. Other countries may have organisations that perform a similar function but go by a different name for our overseas friends.

  • Ask if they run training courses. These may be as simple as a morning session on how to use a particular social media platform, or an in-depth year-long course on how to set up and run a business. Enquire as to whether you might be eligible for any funding to help with costs.
  • See if they have any networking events via Zoom. You may be able to find new clients. At the very least, you’d be able to chat with other small business owners and perhaps learn from them.
  • Does your local EA have any contact with other organisations that may help you, such as the local group of the Federation of Small Businesses (FSB) or a Chamber of Commerce?
  • Is there a mentoring scheme where you can be helped with the finer details of running your business and finding clients?

My experience

I am fortunate to live in the area covered by The Growing Club, a Community Interest Company that provides support, training and mentoring opportunities for women in the North West of England. I began a year-long business start-up course in the summer of 2019, which continued via Zoom during the lockdown. Through that course, I now have a business mentor who will answer questions, help me to plan and, most importantly to me, help with any difficulties – something I am so grateful for as it greatly reduces my stress levels!

I attend a weekly Zoom drop-in session, which is great for socialising with other small business owners and finding out answers to any questions I might have. I also attend the monthly local group meeting of the FSB, through which I now have two prospective clients talking with me about their future proofreading needs.

I have gained some business through networking there, and now have two local authors as clients; two local businesses have given me material to proofread that they’ve written during lockdown, and the owner of a new start-up business asked me to bring their website up to scratch because English is their second language.

I’ve also undertaken a piece of copywriting through The Growing Club and had the pleasure of being taken on as a writing coach to help a local author with her writing – something I enjoyed enormously.

Local college

Colleges provide courses to help upskill their local population.

  • Find out about the range of courses they offer. You may have thought of broadening your social media reach to get your business ‘out there’, so see if your local college offers training courses on different social media platforms.
  • See if they run courses on aspects of running a business; for example, marketing or finance.
  • Ask if funding is available to local businesses.

My experience

I found there were social media courses through Lancaster and Morecambe College, with training provided by The Consult Centre, a local social media company. I undertook training sessions on LinkedIn, Facebook and Google My Business, as well as Canva, which enables me to design professional, branded posts to upload to my social media platforms. As a local business owner, I was eligible for full funding.

While I post weekly on social media to increase the visibility of my business, I’ve enjoyed the natural networking opportunities such interaction has given me. Connecting with other editors and proofreaders through LinkedIn has been a pleasure, a helpful resource, and has helped me feel much less isolated during these strange times.

Universities

Students and academics use the services of proofreaders for dissertations, theses, journal articles and books. Some universities maintain a register of approved proofreaders. They may stipulate that applicants to the register must live within easy reach of the university to meet potential clients in person, if requested, and there are often proofreader guidelines to adhere to.

My experience

I definitely knew when Masters dissertation writing time had arrived! Yes, you’re proofreading to a tight deadline, but I got a real buzz out of working closely with the students and helping make their writing the best it could be prior to submission.

I enjoyed a detailed commission for an academic to help ensure her article met the house style of the journal she wished to submit it to.

The Chartered Institute of Editing and Proofreading

My membership of the CIEP has played an integral part in my development as a proofreader. I completed the Institute’s level 1 and 2 proofreading courses in 2019.

The 2020 CIEP conference laid a wealth of information at my feet. Thank you to every keynote speaker. The networking sessions were instrumental in helping me build connections with editors and proofreaders.

I also belong to my local CIEP group and enjoy the Zoom meetings. It’s a great way to give tips to others and to learn from those more experienced than myself.

Other avenues

Be innovative!

Write articles for publications. This will get your business name out there and tell people what services you provide.

Diversify. I now also offer:

  • Copywriting
  • Transcription
  • Coaching sessions in writing skills.

For those of you just starting out, see if you can undertake voluntary work in return for a testimonial.

Summary

Be open to opportunities and flexible enough to mould your skills to a situation that may not be your normal remit, but one that you could diversify into.

The most memorable soundbite I learned from my year-long business start-up course was: ‘Don’t ever do the hard sell – just talk to people.’ Ask them about themselves and their business. Leave them with a positive feeling after your conversation and they’ll remember you in a good light.

CPD: staying motivated

Have you ever tried to study but found it hard to stay focused? Am I alone in formulating a great plan, then abandoning my learning when the initial enthusiasm has waned? Continuing professional development is important but staying motivated can be hard.

Building on the study of language has always been particularly important for me as a translator and proofreader. Being able to write well and to correct errors was not enough though – I wanted to be able to properly name the troublesome parts of the texts I was working on. A dangling modifier? An attributive adjective? A predicative phrase? I needed to study the function and structure of English grammar, so I considered my options.

Take a course

I considered taking an in-house course. Having a fixed date and a valid reason to take some time off work is an advantage. But the need to travel and pay for accommodation makes this an expensive choice.

Another option was an online course – an efficient way to learn, especially for those who live far from big cities. Distance learning usually means there are start and end dates, deadlines and a certificate to show you have put in the work. The CIEP offers a Brush Up Your Grammar course, for example.

But I had to take cost into account. Unfortunately, I’d already dipped into my CPD budget, having recently attended a one-day workshop and completed an online course. How about self-study, then?

Buy a book

Buying a book and working through it slowly but surely was the next obvious thing to do. But, before I could even choose a book to buy, I knew my main problem would be staying motivated. How could I be sure I would stick with my learning plan?

Find a buddy (or several)

I made the fortunate discovery, through the CIEP forums, that other editors and proofreaders had the same idea as me. Together we selected a book – Grammar: A student’s guide by James R Hurford. Then, Slack was suggested as a communication tool for collaborative study. It was free, easy to join and very intuitive to use. It would become our virtual classroom.

Set some SMART goals

  • Specific – we chose a textbook that had exercises at the end of every section and answers to check at the end of the book.
  • Measurable – we studied the agreed section during the week, completed the exercises, checked the answers and discussed any difficulties or revelations once a week.
  • Attainable – the chosen textbook started with the basics but provided fuel for further discussion.
  • Relevant – as professionals working with language, building on our knowledge of English grammar was useful and important.
  • Time-bound – we would work through the book, literally from A to Z, on a weekly basis over a few months.

How did it work out?

As motivation was my key concern prior to starting, I was pleased that I was always able to find the time to join the weekly meetings. If I had been working on my own, I might have been less diligent. The whole exercise gave me a solid foundation in grammar and the desire to continue building on this in the future.

An unexpected outcome

This was a great way to get to know colleagues better. The group was small enough so that we could chat comfortably, but large enough to keep moving forward if one person couldn’t attend. There were so many advantages to working together like this – the most unexpected one was that the learning experience was so enjoyable.

Working alone but together

I found that this kind of learning suits me. I could work at my own pace during the week but use the regular meetings to keep on track. It was nice to know that I was not alone when I found something particularly hard to understand. And Slack was ideal for our purposes, giving us a dedicated space to work together.

What’s next?

For me, a combination of taught courses and self-study is perfect. But self-study is easier if you can find people with similar goals, whether in your personal life or through your professional networks. Then all you need is a book and a plan. Would I do this again? Becoming a copyediting and proofreading trainer: from terrified to confident

My voice is soft and I’m prone to saying ‘um’ and ‘er’ as I struggle to articulate my thoughts. When I get going, I trip over my words. I certainly don’t have what you would call the gift of the gab.

As part of my job, I’d run a couple of courses years ago, fuelled by youth and, I don’t know, luck. Since then, I’d been made redundant, moved city, had kids, and lost confidence the way you do when you’re at home all day interacting with small children and a screen.

So imagine my feelings when I received an email in August 2018 from Margaret Aherne suggesting I take over two of her copyediting courses.

If you’ve not been on one, Margaret’s courses are a treat. Her Publishing Scotland ‘Welcome to’ and ‘Further’ courses in copyediting and proofreading were exactly what I needed as I started out in editing in 2014. She was clearly an expert, vastly experienced, but hilarious with an endearing nerdy slant (keen on steam trains, bus shelters, that sort of thing). Her exercises were masterful – thought through and clever. I signed up for all her Edinburgh courses. Afterwards, we kept in touch by email, and I was secretly hoping she’d write a new course I could attend.

Taking up the mantle

But it wasn’t to be. Family and health stuff meant that Margaret couldn’t make the trip (always by her beloved train) from Bristol to Edinburgh any more. So, did I fancy taking on her Publishing Scotland copyediting courses? Denise Cowle would be running the proofreading ones.

Me? She must have confused me with someone else, or mistaken my shiny-eyed interest (I was a bit of a Margaret groupie) for training ability. But … what an opportunity. I replied with an update on my work and what training I’d run before, adding: ‘I do feel very green and inexperienced compared to you!’ It didn’t seem to put her off and we arranged a meeting.

In the meantime, I almost bottled it. One evening it became crystal clear. What I was I thinking? I could barely string a sentence together with my own family, let alone a set of delegates. I’d never manage Denise’s capable, clear and confident delivery (for I had checked her out on YouTube talking about semicolons). I’d email Margaret and tell her I couldn’t do it. And I did. She was incredibly understanding but gave me the night to think about it and the chance to confirm my decision in the morning.

In the morning, I felt … OK. Still a bit scared, but all right. So it was on again, and I met Margaret a few weeks later in Glasgow, where she talked me through the content of the course and assured me she’d give me advice and guidance whenever I needed it. I hugged her goodbye. It felt like I had been anointed.

And so began the long countdown (of around six months) to delivering my first day-long course. What did I do to prepare? Here are my tips for going from terrified to trainer.

  1. Familiarise yourself with the content. Nothing makes you confident like knowing your stuff. So I made sure I was completely au fait with everything in the course. I looked out for extra examples and other material that could augment the learning points. Becoming familiar with the content also involves anticipating questions. The course included a section on grammar and punctuation. What if the delegates asked hard questions at that point? Time to raise my game. When the opportunity arose, I volunteered to take over ‘A Finer Point’ in Editing Matters from Luke Finley.
  2. Read a book. Sounds like a cop-out, doesn’t it? But it will give you a chance to get your thoughts in order. It will also make you realise that your situation is far from unique. I read How to Own the Room by Viv Groskop, which contains case studies of well-known women speaking in public. The book told me: ‘You can’t get around fear. You can only go through it. And the way to go through it is to speak in public and get more used to it.’ Argh. Was there no other way?
  3. Talk to an experienced trainer. I went to see someone my sister knew who had decades of training experience. He gave me some great ideas for icebreakers and tips for dealing with questions. He also pointed out that nerves are a bit of vanity, aren’t they? The day’s not about you. Above all, though, he listened to my concerns, was encouraging, and told me the story of when he found himself dry heaving from nerves in the toilets of No 10 Downing Street before running a training session. So.
  4. Practise. Viv Groskop said it. The best way to feel better about the whole thing was to do it, or a version of it. So I put myself on the rota of people that give the welcome and notices at church, to get used to being confronted with expectant faces and hearing the sound of my own voice. The most useful experience was when I didn’t realise I was down for one Sunday, turned up as the service started and was told: ‘Thank goodness you’re here! We didn’t think you were coming!’ So I had to get a lightning brief and just go out there and do it. My slightly breathless delivery, some of it on the verge of giggles, was complimented. Coming across as human obviously worked.
  5. Make the takeaways good. I wasn’t kidding myself that the delegates would hold on to my every word, and I wanted to relieve a little of the pressure on my performance, so I made sure that there was an exhaustive resources list and prepared a ‘keep in touch’ sheet so I could email everyone with the presentation. This would also be useful as a vehicle for answering any questions that completely stumped me. I could say, ‘I can’t answer that now, but I’ll look it up and let you all know’.

And that was all I could do in the time I had. I was still nervous on the day. I always am. I’ve done three training courses now – two whole days and a half (with Denise running the other half) – but the more training I do, the more I enjoy it. After coming home from the first day-long course I had to have a lie down; the second time I went out in the evening. So it must be getting easier. Comments from the delegates have been positive. One made me laugh: ‘Cathy is nice and quite funny’. Only ‘quite’! Looks like I still have a way to go before I’m a Margaret.

Plain English: new resources for editors

Are you thinking of adding plain-English editing to your services? Perhaps you have done so already, and you’d like to promote your service to more clients. Maybe you work in-house for an organisation that uses plain English, editing your colleagues’ writing. Or perhaps you’ve been hearing more about this thing known as ‘plain English’ lately, and you want to find out what it’s all about.

If that sounds like you, you might be interested in two new resources:

Using plain English (also known as plain language) helps organisations fulfil their purpose, whether it’s to make a difference in society or to make a profit for shareholders. Organisations in the public sector have a responsibility to communicate clearly so that people can use public services, understand how decisions affect them and take part in public life. Researchers write plain-English summaries to make academic knowledge accessible to more people. And private companies use plain English as a marketing tool and to save time and money on sorting out misunderstandings.

As more organisations see the advantages of using plain English, more of them are working with language professionals to make sure their documents are genuinely easy to read, use and understand. And more editors are working outside traditional publishing for the kinds of clients who want support with plain English, either as well as or in place of a ‘standard’ edit.

Plain English is about much more than word choice and sentence length; anyone who provides plain-English support needs to know about all the guidelines, techniques and tools and when to use them. Most importantly, they need to use them in a balanced and nuanced way. That puts editors, who are experienced in considering the finer points of language use as well as the wider context, in a good position to help.

If you want to find out about the basics of plain-English editing, the updated guide is a helpful introduction to what’s involved. If you want to learn more and gain some practice, the new course will help you to build on the skills you already have and use them in the context of plain English.

Editing into Plain English guide

We’ve updated the original SfEP guide on plain English, written by Sarah Carr, to reflect how the market has changed since it was first published.

What does it cover?

The guide is an introduction to plain-English editing. It includes information about:

  • What plain English is, and what it isn’t.
  • Evidence for the benefits of using plain English.
  • Training and qualifications.
  • Plain-English services you could provide, and how to price them.
  • Marketing your services and finding clients.
  • Working with clients in practice, especially non-publishers.
  • Software that can help.
  • Useful resources.

What’s changed since the first edition?

We’ve updated the guide throughout, but in particular you’ll find new information on:

  • Recent developments in plain English around the world, and which sectors are using it.
  • How plain English benefits business clients.
  • Ways to market your services and find clients.
  • What to consider when discussing a project with a client.
  • Resources and further reading.

Plain English for Editors online course

This new course looks at plain English from the perspective of editing. It explains how to use widely accepted guidelines to improve text that has already been written, and looks at the challenges involved.

Who is it for?

The course is for you if you:

  • Already provide plain-English services and want to develop your skills.
  • Want to branch out into providing plain-English services.
  • Want to use plain-English techniques as part of your other editing services.
  • Work in-house and edit colleagues’ writing.

What does it cover?

This course aims to explain what plain English is, give you the skills to use guidelines on plain-English editing with thought and care, and develop your understanding of how to market your services and deal with challenges. It covers:

  • What plain English is, and what it’s for.
  • The history of the plain-English ‘movement’ and more recent developments in uses and thinking.
  • Six main guidelines for plain-English editing, from word choice to layout.
  • Tools in Word and other software that can help, and the pitfalls to watch out for.
  • The practicalities of plain English editing – working with clients, dealing with misconceptions and challenging texts, and marketing your services.

The course gives you plenty of practice in using the guidelines with careful judgement, considering the context, the reader’s needs and the client’s needs. This helps you to develop the skills needed to genuinely improve clarity and ease of reading, rather than applying a set of ‘rules’ that simply tick a box.

In short, if you’re an editor offering plain-English services – or hoping to do so in future – these two resources will make an essential contribution to your continuing professional development (CPD). And if you’re a client or commissioner of editing services, and making your copy clear and easily understood is one of your priorities, you can be confident that any editor who draws on these resources is well equipped to help you achieve this.


Laura Ripper is a self-employed copy-editor and an Advanced Professional Member of the SfEP. She started out at Plain English Campaign in 2004, editing documents for private companies and public-sector organisations. After that she joined Foundations and then Digital Outreach – companies that worked with charities on behalf of the UK government. As an editor, she helped these companies communicate clearly with various audiences. She has also taught English as a foreign language in Russia and China. She has co-written the SfEP online course Plain English for Editors and the SfEP guide Editing into Plain English.

Luke Finley set up Luke Finley Editorial in 2013/14 and is an Advanced Professional Member of the SfEP. Most of his working life until 2014 was spent in the voluntary and public sectors, which gave him a keen interest in plain English and trying to persuade people to communciate more clearly. He also wrote and delivered various kinds of training. As an editor, he has presented on plain English at two SfEP conferences and is the co-author of (with Laura Ripper) the SfEP online course Plain English for Editors and (with Laura Ripper and Sarah Carr) the SfEP guide Editing into Plain English.

Wise owls: The best CPD I’ve ever done

The wise owls are soaring into summer with some reflections on the best continuous professional development (CPD) they have undertaken.

About 25 years ago my employer sent me on a three-day training course called ‘Selling for non-sales staff’ (or some such title). The underlying ethos of the course was that people buy from people and that it’s best to engage potential clients in conversations to try to find out their aims and needs rather than to deluge them with a list of your (your company’s/product’s) ‘features and benefits’. It all seems rather obvious, once you pause to think of it, and it’s something I’ve tried to remember ever since.

But I learned a much more important lesson during the role play (two words that fill many freelancers with dread); namely that it’s important to ask open questions. At that point, with only a few years’ work experience under my belt I’d never even heard of the concept of ‘open’ and ‘closed’ questions. That was one of the most valuable lessons I have ever been given – of benefit for both business and personal interactions.

I’ve done plenty of CPD as a copy-editor, but the best was probably a one-day business finance course I did yonks ago. From that course I picked up two nuggets, both of which I’m apt to trot out at the least provocation: (1) it’s easier to save money than to make money (as I said last time) and (2) cashflow is even more important than profit.

Cashflow is simply having enough money coming in to cover your commitments: enough to pay your mortgage or rent, fuel and power, tax bill and internet connection, and still put food on the table. But freelancing doesn’t lend itself particularly easily to smooth cashflow. This is why budgeting is so important – you need to understand how much money you need to make and when your invoices are likely to be paid, follow up late payment quickly and often, and price your work correctly. It’s also vital to do all you can to build up a cushion to tide you over the lean months. With many business clients paying on a 30-, 45- or even 60-day cycle, you can find yourself with loads of cash one month and almost nothing the next, even if you’ve been working steadily. Calculate what you need and make it a priority to save enough in the bank so that you can still pay your bills – and replenish what you spend. Then squirrel away a bit more to help you should a client suddenly go bust. After that, you can go and whoop it up in the fat months!

I’ve undertaken plenty of CPD in the decade I’ve been freelance, including attending various SfEP courses and five conferences. They’ve all helped me a lot in terms of teaching me new things, giving me more confidence to run my business, and helping me access a wonderful international community of editorial professionals. Perhaps the thing that has been best for my own learning, though, has been teaching other editors via the SfEP’s mentoring programme.

Helping others learn how to do things has compelled me to examine my own practice, and improve it. It’s been necessary for me to find out more about how to do things myself to be able to explain to others how to do them. I’ve been amazed by the high standard of many of the people I have mentored over the years, in copy-editing and proofreading – and inspired to up my game as a result.

I was lucky when I started in publishing that I found an employer willing to train me, fresh from my PhD, in copy-editing and proofreading. Those classroom courses at Book House in London – three days of copy-editing and one of proofreading, run by the Publishing Training Centre – were the most valuable of my career as they set me up in what I was going to do, every day, working in-house. The experience I gained on the job after that had a firm bedrock on which it could be built. But is that CPD? I’d only just started so it was more like IPD – initial professional development.

But since being freelance it’s harder to point to any one day or piece of CPD and say ‘yes, that’s the best bit’ because CPD builds you incrementally into the publishing professional you are at any point. Once you have done the basic training the continuation and building of a career is less about huge leaps in knowledge and more about little nuggets of information and wisdom that change one’s practice and allow you to make small improvements in the services that you provide. On reflection, in recent years my most inspiring piece of CPD in terms of the renewed enthusiasm that it gave me was the SfEP’s Education Day in London in early 2018. It featured a day of speakers who weren’t so much teaching as giving a state of the industry, a snapshot of the state of affairs for editors. After that event I wanted to improve the service I give to educational publishers, as it’s an aspect of my work that I hugely enjoy but which is also challenging too, at times. That day was less about learning something new and more about garnering a new resolve for the work that I do.

The best CPD I’ve ever done is undoubtedly all the opportunities I’ve had for learning on the job. I love how pondering the different writing styles (and quirks) of different authors makes me question my assumptions. If something’s not written the way I would do it, is it wrong, or do I need to broaden my editorial horizons?

I’ve been editing for a long time but I still get stopped in my tracks and have to look things up, and I think that’s no bad thing. It also makes me think about how much (or how little) to change and how to let the author’s style through, rather than my own preferences. (But I do love a job where the author doesn’t care and is happy for me to preference away!)

Sometimes an author does something ‘odd’ so consistently that I begin to doubt myself, and often the more I look at it the more odd it looks! It’s a great opportunity to look up various style guides, consult the reference books or ask on the SfEP forum. It’s great revision, or it’s a great revelation. In any event, it’s great CPD.

Back in 2001, I joined the editorial team at a large investment bank in the Netherlands where I worked on a huge range of equity analysis reports. I had only a lay knowledge of stocks, shares and the markets when I took the job. My boss sent me to London for a week to learn how to analyse and value a company. I didn’t quite manage to complete the final tasks on the last day – they required too much algebra, but I learned so much anyway. I’d never thought myself very numerate, despite being able to tot up Scrabble scores in my head and check a restaurant bill is correct. The course proved otherwise – I am. And I can read balance sheets, profit and loss accounts and more like a pro. I can skim a financial report and instantly understand the underlying issues. I can scan financial tables and errors leap out at me. Best of all, I gained confidence in my ability to handle figures. And while I still edit financial materials of all sorts, I can apply what I learned on the course to all kinds of other things I edit (annual reports a speciality). So thank you, Frans!

I am a Polish editor of English

When I was invited to write about the challenges and rewards of being a non-native speaker editor of English, it felt like the cat was being let out of the bag after a very long time. I am a non-native English speaker and an editor, but I never think of myself as such – to me, I’m simply an English editor. And now, finally, someone has noticed my big, fat secret.

Abi’s (this blog’s coordinator’s) invitation opened up something I hadn’t until then been ready to acknowledge. I imagine that seeing my name people must wonder where I’m from, how good my English actually is and what’s my claim to editorial competence (I also like to imagine they have better things to do). In today’s interconnected world, I could’ve been born in the UK to Polish parents – a lot of immigrant children carry non-English names. But I learned English in another country and came here in my 20s, and when I speak, the first thing you’ll notice will be my unfamiliar accent. Working as an editor, I’m basically asking to be judged on my language at every turn. Shouldn’t an editor be someone whose English, both written and spoken, is impeccable?

By virtue of my background, I’m facing two kinds of challenges already – my name and how I sound. Until that email from Abi, I would deal with them through avoidance. First, I’d be stumped if you found any mention of my background on my public profiles. I’d decided long ago that this would be my weak spot and didn’t want to draw attention to it in case this made anyone doubt my skills. And second, I would simply avoid speaking with clients, at all cost. Unfortunately for me, there are some people who just don’t get the message – and don’t do email. I now thank them.

To a certain extent, the challenges I’ve experienced as an editor of English are internal and come from the idea of what an editor should embody, which to me, and many others, is language knowledge and competence nearing the heights of perfection. As a profession, I think we are quite unique in holding ourselves, often publicly, to such incredibly high linguistic standards that it must come at a price. One of the consequences is that this makes some of us anxious communicators – and the challenge is multiplied for someone who has learned English as an adult. What I’d like us to remember though is that language is a system and therefore can be studied and learned. So can editorial craft. I studied English literature and linguistics for 5 years at university and have worked as an editor of English for nearly 12 years; that gives me close to 17 years of experience as an English-language professional. And I’m still learning – I take editing courses, I read industry books, scour the internet for current language trends, go to conferences – everything we all do as editorial professionals. I find professional development and education to be the best remedy for the lurking ‘English-language editor’ impostor syndrome that rears its head in moments of self-doubt.

The rewards are perhaps the same for me as for everyone else who loves their job. Contact with authors is immensely rewarding; one of my authors calls my editing her work ‘magic’ – it doesn’t get better than this! I engage with incredibly dedicated, knowledgeable and inspirational people who care about how they write, I read books and papers on topics I wouldn’t have come across otherwise, I learn and grow thanks to what I do for a living, and, to use that worn out cliché, I love reading. A challenge now is picking up a book for pure enjoyment, our common complaint I suppose.

I keep going back to that email from Abi, because it’s shifted something for me, prompting a change in how I think about myself and present myself to the world. That same evening, I edited my website bio to say I wasn’t born in the UK and I didn’t graduate from a UK university. Perhaps that’s another step in overcoming my biggest challenge – my own prejudice against myself as a competent, expert, non-native English-language editor.
