Working together

One of the CIEP’s greatest strengths is its collegiality and mutual support. This extends to our members helping each other to find and succeed in work. Here are six ways we do this.

1. Advising and encouraging

The CIEP’s online member forums include a Newbie forum, where less experienced members can introduce themselves and ask questions about any aspect of being an editorial professional. These first questions often concern the best way to go about finding work. More experienced members respond with advice, encouragement and tips. These responses tend to reflect the same key themes:

  • Get trained, so you have the knowledge and confidence to offer your services.
  • Join a CIEP local group – in-person or online.
  • Check out CIEP resources, including our fact sheets and guides. These are free to members.
  • Think about how you will market yourself, including identifying the area of editing you will concentrate on. This might reflect your existing expertise (a field you’ve worked in, perhaps) or even your personal interests (for example a hobby like gardening or cookery).
  • Don’t limit yourself, either. If you have trained in proofreading, consider adding copyediting to your training plan. This is because sometimes a client will ask you to ‘proofread’ a document which also needs elements of copyediting to get it ready for publication.
  • Tell everyone you know that you are setting yourself up as an editorial professional. This may get you your first clients.
  • Use the ‘search’ function to find similar threads in our forums – there is already lots of advice there. There’s also a pinned post near the top of the Newbie forum, ‘Newbie FAQs and Collated Wisdom from CIEP Members’, that includes invaluable tips and suggests some great resources for when you’re starting out as an editor or proofreader.

2. Sharing information

Within the CIEP member forums, information is shared about all sorts of editing- and proofreading-related subjects, from tax rules and software glitches to the use of commas. But CIEP members who aren’t registered for our forums can also benefit from the wisdom and experience of other members. Most of our fact sheets and all of our guides are written by CIEP members. The information in these resources aims to equip our members for work, from setting up a freelance business and getting your first clients to editing in specialist areas like scientific articles, cookery books and legal publishing.

Many of the topics covered in our bank of resources are explored at a deeper level in our range of training courses which, again, are designed and delivered by CIEP members.

And there’s more information in our vast collection of blogs which are overwhelmingly written by CIEP members. Our blogs cover almost every editing-related subject, many of which are related to gaining work. Use the ‘search’ function to see what you can find. The Flying Solo series, written by Sue Littleford, author of the Going Solo guide, is particularly useful if you’re just starting out.

3. Supporting each other’s work

Suzanne Arnold and Nadine Catto met through the CIEP London group during lockdown and realised that they lived round the corner from each other. Nadine says: ‘We started meeting up with a few other editors and have all become great friends. As Suzanne and I live very near, we often go for walks together. We have collaborated on a few work projects as well.’ Friendship and work combine, as Suzanne describes: ‘It is a regular (and very valuable) sounding-board thing and sometimes even a bit of informal accountability. But it’s not structured or planned – it’s two friends bouncing ideas around and sharing links to online resources etc and the “agenda” is very driven by what’s going on in our lives on any particular day.’ The connections created by their local group help them both. Suzanne says: ‘There’s a lot of informal help behind the scenes – on a more mundane level, too, such as messaging saying “does this sentence look right to you?” And that often involves the wider group of CIEP friends who live locally.’ Sometimes this informal help extends to pet-sitting: Suzanne feeds Nadine’s cat when she’s on holiday.

In contrast to this more informal growth of connections within a larger formal group, some CIEP members decide to set up their own small accountability groups. In a CIEP blog, ‘Accountability groups: What? Where? Why?’, Eleanor Abraham says: ‘It’s good to have other perspectives, but sometimes you don’t want 150 slightly different opinions, but rather the chance to talk things through with people you trust and respect.’ Eleanor’s group has an hour-long meeting each month, which suits the busy lives of its members; Erin Brenner’s accountability group has a monthly goals check-in and in-person and online retreats. Erin writes: ‘We’ll refer each other for work and collaborate on projects. Some of us have even partnered for new business ventures, and we regularly discuss opportunities to do so.’

4. Sharing opportunities

From recommending other people for work to advertising jobs they can’t themselves take, CIEP members often share work opportunities with each other. This happens on our member forums: on the Marketplace forum and local group forums in particular.

As Erin’s accountability group does, many members also recommend colleagues who possess the skills a client will need. Most people who have been editing or proofreading for a while have had the experience of being asked to suggest someone else if they’re too busy to take a job. Directories can help here. The CIEP has a directory of Professional and Advanced Professional Members, but some of our local groups also have their own directories of CIEP members which list their experience and specialisms. It also helps to pre-empt clients’ requests for recommendations to develop our own list of editors we would happily recommend if we can’t do a job.

5. Employing each other

A step beyond recommending our colleagues is employing them to do something for us. In ‘Reflections on the self-publishing process’, Kia Thomas describes commissioning two other CIEP members to help her publish her own novel, and they in turn report on the experience. The project went so well that Kia is planning to use the same team for her second novel.

Kia went about finding Judith Leask, her editor, ‘not just a good editor, but the right one for me’, by ‘asking CIEP members who were looking for more experience in fiction to put themselves forward for the job’. It can be a great approach to work with other editors who are at this stage of their career – for you as a ‘client’ and for the person you’ve asked to do the job. Judith says: ‘Being chosen by Kia to edit her novel was very exciting, because I knew I’d learn a huge amount from her, and that turned out to be true.’

The CIEP has a system for encouraging its members to work with other members who are keen to gain more experience: IM Available. This is a list, refreshed every fortnight, that includes any Intermediate CIEP members who are available for work, with details of their training, skills and experience, so that other CIEP members can employ them – to edit or proofread their own writing or to help with a surplus of client work.

6. Working collectively

Another way to deal with work that is too much for one editor or proofreader is to work in a partnership or a larger collective.

One such collective is Editing Globally, which, through six editorial professionals, spans the globe’s time zones but also the full range of tasks related to getting a publication produced: manuscript evaluations, project management, translation, developmental editing, line editing, fact-checking, copyediting and proofreading, formatting and design. This 24/7, end-to-end service can make it easier for a client to hit a tight deadline. Janet MacMillan, one of the editors in Editing Globally, is a fan of team working:

Editorial teams come in all sorts of shapes and sizes, from a team like Global Editing to informal, ad hoc, two-person teams who work together to complete a job over a timescale that would be impossible for one person. I value being able to work with trusted colleagues, whose expertise and knowledge I learn from, and I believe that learning makes me the editor that I am. No matter the size or shape of the team, being able to work with others expands an editor’s knowledge and skills.

Make the most of the editorial community

Marketing and networking through Twitch

In this Q&A, Kat Betts talks about using the streaming platform Twitch to market her editing business and to network with writers and other editors. For the past five years, she’s live-streamed edits on Twitch.

What is Twitch?

Twitch.tv is a streaming platform used mostly, but not exclusively, by gamers to live-stream games as they are being played. Through using software such as OBS or Streamlabs you can share what’s on your screen to anyone watching online. You can also share a camera view of yourself, if that’s something you want. There is a wide community of writers and editors on the platform; accountability or coworking streams are a large part of Twitch.

What do you need to be a successful Twitch streamer?

To be able to stream, you don’t need much: a camera (if you choose to use one), a screen layout overlay (available through Streamlabs, create your own, or have someone design one!) and something to stream. This might be as little as a Pomodoro timer all on its own, or it might be your writing or an edit you’re working on.

To be a successful streamer takes time and effort. Not only do you need to be active in the community to cultivate a viewership (usually through having a strong streaming schedule), but you also need to advertise streams (on social media) as well as in various Discord groups. For me, diving into such depth is beyond my ability. I just don’t have the time, and while it doesn’t take long to put out a post on social media, my primary focus on those platforms is to share myself as an editor first and foremost, rather than a streamer. Still, being active in the community has me meeting writers worldwide, and other streamers through them and their viewers. It’s a web of friends that I spend time with daily, whether or not I’m streaming.

Why did you start streaming on Twitch?

Way back when I started (2018), I wanted to add to my income and add to my pool of potential leads. I thought streaming on Twitch would be a good way to do this. I do not get paid much through subscriptions (where viewers can pay to have no ads while watching my channel), bits (tips) or ad revenue. Being present and active in the Twitch writing and editing community has led to new, long-lasting client relationships though. That said, the value in it is the company. Most of us work from home. Alone. And some days this is lovely. For me, though, I get lonely quickly, and being able to chat with friends I’ve made across the world is a great social outlet. Plus, if you get your social bar filled, all you have to do is hit that little browser X. 😉

Do you ever get nervous or make mistakes?

In the beginning, I would get nervous all the time. I knew the people, I loved the community, but having your face up there, and people watching your every digital move? Sounds like a disaster! But the community are wonderful. They are supportive.

What still makes me nervous these days is when the author of the work I am editing onscreen comes into the stream. In almost every case, my nerves are unfounded. The clients are excited to see the edit, they’re excited to get to know me more, and I them! They love when you’re umming and ahhing over the same pesky comma they were. Take it out? Leave it in? Clients being in the chat and viewing the stream is not a bad thing, either; they can often clear up queries on the fly, rather than you having to wait until they return an email or Discord message.

It’s important to understand that Twitch is a live environment, and viewers aren’t looking for perfection. Anything too cultivated screams promotional content only. In my experience, this just doesn’t work within the writing and editing community on Twitch. Most viewers are there to create a bond, to make a friend, and this is a great way to develop relationships that turn into leads.

Do you get many questions while streaming?

Absolutely, and I love being able to share what I do. It’s important to me to show authors that editors are there to support them, to be their partner in the process, to make their work shine.

Regarding editing, there are three common questions I get asked repeatedly:

  • What’s your website? A link to my website shows up periodically using an automated chatbot system I have set up, but I’m always happy to share it!
  • What are your rates? I redirect to my website, with an explanation that the rates listed are just a guide, and that manuscripts are assessed individually.
  • Will you look at my story for me? There are, of course, many people in the community who want work done for free, and there are writers and editors on Twitch who do give feedback (usually developmental advice). This is not something I do (I like to think of myself as a coin-operated editor), and I have lost only a few potential viewers as a result.

How do you decide which manuscripts to edit live?

Whether to edit a manuscript live first comes down to what the author decides. I include in my contracts multiple versions of the confidentiality clause, which allow the client to choose what depth of clause they’d like. Twitch streaming is one of these options, and every client is walked through what Twitch is and how it works before they decide. If an author chooses Twitch streaming, the decision of when and how long to stream for is made at my discretion. Some days I might choose not to stream the manuscript; it all depends on what I am doing at the time, and whether the manuscript lends itself well to streaming.

Works are never streamed in their entirety, and at no point are any recordings or clips made. If an author wishes to rescind streaming permissions for their work, it is made clear that this is always an option; it is their work, and when it comes to confidentiality (among so much more!), it’s entirely their choice. Most authors I work with (about 9 out of 10) choose to have their edit streamed, and while I’ve never had a client pull their manuscript permissions, it is important that they know this is always an option.

Forum matters: Business management tools to boost your business

These are just some of the issues that members have brought to the CIEP forums, looking for help and practical advice. It is a reflection of the age we live in that the responses often recommend an app, a macro, a program or some other automated tool as the solution.

Perhaps inevitably, most posts seeking help or advice are about grammar, punctuation, usage or other language-related problems. But there is a wealth of expertise among the membership on the broader practical aspects of running a business. Most of us are freelancers. So, without admin, secretarial or IT support, multi-tasking has to become second nature.

Business tools for digital marketing

A great example of the forums acting as a resource for business tools comes in the area of website building. Most members count a website as a key element of their marketing. There have been a number of threads over the years with advice on the best website hosts, tools and servers for newcomers. One request for advice on website builders elicited views on six different options and an additional resource for templates – all in just 24 hours! The advantage of the forums is that you get suggestions from people in the same line of business who will be facing many of the same challenges. Other threads discuss resources for logo design and blogs, even links to courses on how to improve SEO.

However we approach our business, there is no escaping the need to keep careful and accurate accounts. CIEP members shared knowledge and advice about key business tools in a thread on accounts software where members – crucially, with similar business needs to the original poster – weighed in with advice on a number of different accounting packages. They have also touched on the pros and cons (in the UK) of setting up as a limited company or a sole trader, how to handle specific tax issues like PAYE or allowing for domestic costs in a tax return.

All the answers

No discussion about boosting business efficiency would be complete without a mention of macros – the one topic that has a forum all to itself. Its threads reveal that we have members at all points on the spectrum, from programming experts to absolute beginners. But the help and advice available – and freely offered by some members – has enabled many to conquer their initial fear of macros and discover the huge improvements and time savings that can be achieved with them. You can also find discussions on the forums about other editing software packages, such as PerfectIt.

And if you can’t find what you want, just ask! Earlier this year a member said they couldn’t find much information about Linux on the forums, so they posted a question and set off a thread with competing views on the usefulness of Linux as an operating system.

Training, an essential part of maintaining our professionalism and standards, is another area in which the forums are a major source of ideas and inspiration. Many CIEP newcomers have come to the forums for advice on how to negotiate the maze of courses available from the CIEP and other providers, to boost their chances of finding the right course for the career path they have chosen.

Keeping healthy

As we all wish 2020 a (probably not very) fond farewell, it is also worth noting that the forums were a healthy source of advice about maintaining our mental health and dealing with the stresses that have come our way. Members have shared ideas and tips on loneliness, difficulties with concentration and a range of self-care ideas, including walking, resting, meditation and cookery.

Many members cite the forums as one of the greatest benefits of CIEP membership (and some of us probably spend too much time on them – see the recent blog post on productivity!). They can be a veritable gold mine of help and advice, and their value comes from the fact that it is members, many with similar experiences and facing the same challenges, helping each other.

Forum matters

This feature comes from the band of CIEP members who volunteer as forum moderators. Links to the forum threads will only work after you’ve registered for the forums and logged in.

If there is one place worth revisiting often, it’s the CIEP member forums. Some of us swear that access to the forums alone is worth the membership fee – and that’s only a slight exaggeration. In fact, about half the people who have joined the forums have never written a post, but I’m sure they’ve gained plenty from their lurking.

One member has written over 17,000 posts, but then they’ve been signed up for nine years and had plenty of official business to discuss. One per cent have contributed over 1,000 posts, but the majority contribute as and when the fancy takes them. And there’s plenty of variety to suit anybody’s fancy.

All CIEP members have the right to access the forums, but for the moment (until our new website is up and running) you do have to take the positive step of joining. It is a two-stage process, but simple. First you register via the main CIEP website, then your application is approved by a moderator (sometimes this happens in minutes, sometimes in hours; it depends whether the volunteer moderator is online at the time). This process ensures privacy on the forums, because this is a space to share and to vent as well as to pick up useful info. It’s the CIEP water cooler!

Frequent venting, constant support

Plenty of venting does go on: against low pay (Offer from [global company]); against rude clients (Rude email from publisher for asking MS to be in order); and against incomprehensible paperwork (HMRC self-assessment – reporting ‘foreign income’). But it is never allowed to get personal or vindictive. By all accounts, our forums are a much friendlier space than many online. If a thread looks as though it’s going that way, then any member can easily flag up their discomfort by emailing the moderators (forums@ciep.uk). Posts may be deleted, threads removed and, in the worst case, a member can have their access denied (temporarily or permanently). It does happen – but not often. Any vitriol is dealt with swiftly and fairly and in line with the CIEP Dignity Policy. But what usually happens is that a range of viewpoints emerges, putting things in perspective and offering a solution or two.

Many people use the word ‘supportive’ in relation to the forums. It goes without saying that much of that refers to sharing professional knowledge. Knowledge about words and their ‘correct’ use, knowledge about the business of editing/proofreading and acquiring clients, knowledge about hardware and software. But there is other, more nebulous, support that goes on throughout the forums.

Collective wisdom

One great virtue of the forums is that the threads automatically become a huge archive, a fount of collective wisdom. The extraordinary thing is how much of this knowledge remains useful year on year, which makes the role of lurker even more valid!

Many questions come up over and over again, particularly from newbies, so the best first step is to use the Search function. Like all search facilities you need to play with the term(s) you input; if, at first, nothing comes up, then try again with a longer or a different word (it needs to be at least four characters long). But please don’t moan if you find you’re sucked into a distracting vortex of posts and you lose an afternoon! We guarantee the forums will distract, entertain and educate you, and it’ll be time well spent.
